Why paper still costs you more than you think

  • Field operations

2 April 2025

Overview

The real price of paper job sheets isn't the paper. It's the days of delay, the re-keying, and the decisions made on stale information.

Most operations that still run on paper don't think of it as a cost. The pads are cheap, everyone knows how they work, and "it's always been done this way." But the paper itself was never the expensive part.

The hidden bill

Every paper job sheet carries a tail of hidden cost:

  • Delay. A sheet filled in on Monday might not reach the office until Thursday. Every decision in between is made blind.
  • Re-keying. Someone has to type those sheets into a system. That's hours a week, and every keystroke is a chance for an error.
  • Lost evidence. Photos taken on a phone rarely make it onto the right job. When a dispute arrives, the proof is missing.
  • No visibility. You can't manage what you can't see. Paper gives you a picture that's always days out of date.

What changes when capture goes mobile

Move capture onto a phone and the tail disappears. Data is validated as it's entered, photos are tied to the job automatically, and the record reaches the office the moment there's a signal.

The point isn't the technology. It's that your office team stops re-keying, your managers stop guessing, and your evidence is always where it should be.

Where to start

You don't need to digitise everything at once. Pick the form that causes the most pain, the one that's always late, always disputed, or always re-keyed, and start there. The results usually make the case for the rest.

Winter is starting earlier. Is your winter services operation ready?

The businesses that get caught out by winter usually aren’t the ones without a plan, they’re the ones whose plan was built for the winter that used to happen rather than the one that’s actually coming, and that gap tends to open up faster than most people expect.

Health and safety compliance in the field

When did you last ask yourself how confident you really are that every safety check your field teams ran last week actually happened? For most businesses managing mobile workforces, that question lands uncomfortably.

Why field operations teams struggle to trust their own data

Every operations director knows the feeling, because it tends to arrive at the same time every week, usually just as the weekend’s jobs have landed and the Monday morning report is sitting open on screen, and something about the numbers simply doesn’t sit right.
